Hotel Receptionist - Qatar

Receptionist (Female)-Intercontinental Hotel Doha
As a Receptionist you will:
1. Check all arrivals and ensure that all room bookings are made in accordance to guest`s preferences.
2. Prepare registration forms, booklets and all corresponding inserts.
3. Check and ensure that all blocked rooms are vacant, clean and with full amenities prior to guest`s arrival.
4. Welcome and register guests at the counter and escort him/her to the room if the Guest Relations Officers are unavailable.
5. Explain the different facilities of the hotel and the room itself.
6. Offer further assistance like wake up calls, bags down and transportation requirements.
7. Attend to guest`s queries, requests and complaints and see to it that these are addressed immediately.
8. Update registration cards and see to it that all information given by the guests is accurate, complete and ensure that all important information and preferences are noted.
9. Upsell to guests depending on their preferences and requirements
10. Ensure that all charges are accurate prior to presentation of bill to the guest on check-out.
11. Ensure all pertinent discounts, inclusions and other charges are properly applied.
12. Offer bags down and transportation services and remind guest if safety deposit box was used and/or emptied.
13. Check and reconfirm mode of settlement.
14. Close guest`s charges and check-out room from the system.
15. Bid the guest a fond farewell and offer future booking.
16. Ensure cash float/house bank is well accounted for.
17. Answer telephone calls promptly and courteously.
18. Note down guest`s concerns and requests and ensure that they are acted upon responsibly.
19. Ensure that he or she is updated or well informed of all daily functions.
20. Print trace report and take action accordingly.
21. Print arrival and departure list by flight time for the following day and ensure that all rates with inclusions are discounted and all the necessary adjustments have been made.
22. Accomplish requisition for complimentary amenities such as wine, chocolate, birthday cakes, etc.
23. Handle reservation matters when said section is closed.
24. Upsell reservations when incoming reservations are directed to Front Desk.
25. Print departure report for the next day and do courtesy call and offers wake up call, bags down and transportation. Asks the guest to fill up the Guest Comment FormCo-operate with the company to achieve compliance with FLS legislation· Take moral and legal responsibility for conducting themselves in their work so they do not expose themselves or others to risk· Read, understand, and implement the relevant sections of the FLS Policy· Sign the Employees` Declaration having read and understood the relevant sections of the FLS Policy· Not promote or participate in horseplay, pranks, or practical jokes, which may result in an accident or injury· Not intentionally or recklessly interfering with anything provided in the interests of safety· Make careful use of safety equipment, such as gloves, goggles, aprons, overalls, shoes, and so on· Return safety equipment to its designated storage area after use, and reporting any equipment damage to the supervisor· Take reasonable care when storing, handling, and using chemicals and dangerous substances, lifting and carrying, and using or cleaning dangerous work equipment, including machines· Not undertake any activity which compromises their personal FLS, or the FLS of others· Report all accidents, dangerous occurrences, or hazards, no matter how minor, to the supervisor or Heads of Department
26. Handling of currency exchange with utmost care and accuracy
27. Facilitates cash advances made by guest and ensure that it is settled immediately and necessary surcharge is being applied.
28. Check room discrepancies and determine guest`s actual status.
29. Ensure active participation in the preservation of the environment and re-use, recycle, or reduce whenever possible.
30. Perform other tasks assigned by the superiors.

Respond to inquiries about Averda and its products or services, directing visitors to their destinations, sorting and sending mail, request courier services, answering incoming calls on multi-line switchboard, setting appointments, filing, record keeping, data capturing Administrative duties: Coffee or tea services to guests. Ensure lobby area is tidy. Maintain driver’s schedule, daily and handle petty cash expenses. May be required to manage attendance reports, control access system for an organization by verifying employee identification and by observing and reporting Follow up on issues and tasks requested by direct supervisor
Profile Maintain a calm, courteous and professional demeanor at all times. Attentiveness, a well groomed appearance, initiative, loyalty, maturity, upmost respect for confidentiality and discretion, a positive attitude and dependability. At times, the job may be stressful due to interaction with many different people with different types of personalities, and being expected to perform multiple tasks quickly.
